Overview

Provides advanced administrative support to Executive Leadership. Requires minimal direction and routinely responds to enquiries and other communication on behalf of the executive.

 

Responsibilities

  • Under minimal direction, provides advanced administrative support to top management and executives. Routinely responds on behalf of the executive leadership to written and electronic communication.
  • Handles materials of a highly confidential nature as well as a variety of complex situations involving clerical/administrative functions of the office that cannot be brought to the attention of the executive.
  • Uses considerable judgment and initiative to determine the appropriate approach/action to take in non-routine situations.
  • Interprets and adapts to guidelines, precedents and practices.
  • Anticipates and prepares materials needed by the executive for conferences, appointments, meetings, telephone calls, etc.
  • Contacts various company personnel at all levels to collect information and prepare reports.
  • Responsible for confidential and time sensitive material.
  • Relies on experience and judgment to plan and accomplish goals.
  • Within established guidelines, makes independent decisions regarding planning, organizing and scheduling work.
  • Performs some standard admin functions such as screening mail and telephone calls, scheduling appointments and maintaining the calendar, setting up the office filing system, and coordinating meetings (large, complex internal or external), including certain departmental meetings.
  • Other duties as assigned.
  • May direct and lead the work of others.

Qualifications

  • Bachelor's degree (B. A.) or Associates Degree with equivalent experience
  • Candidate must have a minimum of 8 years’ experience
  • Excellent communication skills, both written and verbal.
  • Proficient in MS Office
  • Ability to thrive in a fast paced, changing environment
  • Detail orientated
  • Physical Activities: Talking, hearing, near acuity, handling and typing.
  • Mental Functions: Comparing, copying, calculating, compiling, analyzing, coordinating, communicating, instructing, and interpersonal skills.

 

This is a sedentary position, involving significant sitting, but can include some standing and walking. May exert up to 10 lbs occasionally, but usually negligible force is necessary.
